The Problem

Most compliance training ends the moment the course is completed. But the risk doesn’t.

The Compliance Reinforcement Kit fills the gap between annual training and real-world behavior.

Most organizations train employees on their Code of Conduct once a year, then go quiet for 11 months. Employees complete the course, pass the quiz, and return to their desks — where the decisions that create compliance risk actually happen.

Without reinforcement

Employees forget 70% of training content within a week without reinforcement. By month eleven, your annual training is effectively gone.

When a real conflict of interest or harassment situation arises, employees fall back on instinct — not training. That’s when mistakes happen.

With the Compliance Reinforcement Kit™

One topic per month. Multiple scenario touchpoints. One manager-led discussion. Optional tracking when needed. That’s it.

Compliance stays visible in the places where real decisions get made — team meetings, inboxes, and manager conversations — not just in an annual training event.

What’s Included

What’s Included in Each Monthly Kit

Each monthly Compliance Reinforcement Kit includes:

1. Monthly Launch Package
Email copy, Teams/Slack announcement text, and launch graphics to introduce the month’s topic.

2. Scenario Reinforcement Set
Three short scenario-based touchpoints that can be sent by email, posted in Teams or Slack, linked from your intranet, or delivered as a short Rise module.

3. Manager Discussion Guide
A ready-to-use guide for a 5–15-minute team discussion. Managers can use it in-person, online, or as part of a regular staff meeting.

4. Visual Reinforcement Assets
Digital banners, breakroom posters, and scenario infographics that keep the topic visible throughout the month.

5. Optional Tracking Package
A lightweight acknowledgment or reflection form that can help document employee or manager participation.

How it Works

How a Monthly Reinforcement Cycle Works

Each month focuses on one compliance topic. The kit gives your team several ways to reinforce the same message without overwhelming employees or managers.

Launch the topic
Send the announcement email and post the launch graphic.

Share scenario touchpoints
Use three short scenarios across the month, or deliver them together in a single short module.

Lead a manager discussion
Managers use the discussion guide to connect the scenarios to real workplace decisions.

Keep the message visible
Use posters, banners, or scenario infographics in digital and physical workspaces.

Document participation when needed
Use optional forms, LMS tracking, or manager attestations to support your internal reporting.

Documentation and Defensibility

Built for Documentation and Defensibility

The Compliance Reinforcement Kit is designed to help organizations demonstrate that compliance communication continues after annual training.

Depending on your needs, participation can be documented through:

  • Email or Teams distribution records
  • Manager discussion attestations
  • Embedded Microsoft Forms or Google Forms
  • LMS completion records
  • Monthly reinforcement logs
  • Exportable response reports

For example, a short scenario module can include an embedded acknowledgment or reflection form. Employees review the scenario, answer a short question, and submit the form without leaving the experience.

The result is a simple, timestamped record your organization can retain for internal reporting, audit preparation, or board-level updates.

Visual Reinforcement

Visual Reinforcement Assets

Each monthly kit includes visual assets that keep the topic visible beyond the initial message.

These may include:

  • Launch graphics
  • Email banners
  • Teams or Slack graphics
  • Breakroom posters
  • Scenario infographics
  • Manager meeting visuals

These assets reinforce the same monthly theme across multiple touchpoints, helping the message stay visible without adding more meetings or training time.

Example Scenario: A Vendor Invitation That Feels Routine

Subject: A Vendor Invites You to a Major Sporting Event

You’ve been working closely with a vendor on a renewal.
They’ve been responsive, helpful, and easy to work with.

Near the end of the quarter, they send you a message:

“We have tickets to a major sporting event this weekend.
We’d love to host you as a thank you for the partnership.”

It feels like a relationship-building moment.
No one has said anything about expectations.

But the timing—and the value—give you pause.

What should you do?

  • Accept. This is standard business hospitality
  • Accept, but don’t mention it unless asked
  • Pause and review your company’s policy before responding
  • Decline immediately to avoid any risk

Coaching Insight

Situations like this are where compliance risk actually happens—not in obvious violations, but in moments that feel normal.

High-value gifts or invitations—especially tied to business timing—can create perceived obligations or conflicts of interest. Even when the intent seems harmless, the appearance of influence matters.

The right move is to pause, review policy, and disclose early.
Transparency protects both you and the company.

Manager Discussion Guide

The Manager Discussion Guide Is the Anchor of the Program

The manager discussion is where reinforcement becomes a workplace conversation. Employees may read a scenario alone, but team discussion helps them hear how others think through the same pressures, uncertainties, and rationalizations.

Most compliance programs stop at the employee level.

But behavior changes when conversations happen at the team level.

Each monthly Compliance Reinforcement Kit includes a manager discussion guide designed for short, practical use in team settings.

Managers don’t need to be compliance experts.

They just need the right prompt.

Manager guides can be used for:

  • In-person team meetings
  • Remote team meetings
  • Department huddles
  • Quarterly compliance touchpoints
  • New manager support

Each discussion guide includes:

  • Topic framing slide
  • 5-step facilitation guide
  • 3 scenario slides (easy → hard progression)
  • Key points to reinforce (in plain language)
  • How to disclose / reporting channels slide

Designed for real use:

  • 5–10 minutes in a team meeting
  • No prep required
  • No slides or training background needed

Scenario Customization

Scenario Customization Options

Every organization faces different risks, languages, and expectations.

While the Compliance Reinforcement Kit is ready to use out of the box, many organizations choose to tailor scenarios to better reflect their environment.

Customization options include:

  • Aligning scenarios to your policies and terminology
  • Adjusting examples to reflect your industry or risk areas
  • Adding company-specific guidance or escalation paths
  • Incorporating recent internal or external situations
  • Branding and tone alignment

For global teams:

  • Translation and localization options are available
  • Scenarios can be adapted for regional context and cultural relevance

This allows organizations to maintain consistency across the program while ensuring scenarios feel relevant and credible to employees.

Customization can be applied to selected topics or across the full annual program.

Questions

Frequently Asked Questions

Does the Compliance Reinforcement Kit™ replace our annual compliance training?

No — it extends it. Annual training establishes the baseline of policy knowledge. The Compliance Reinforcement Kit™ builds the recognition skill over the 11 months that follow. The two work together: the annual course covers what the policy says, the monthly kit builds the ability to apply it in real situations.

Do we need an LMS or any special technology?

No. The kit is delivered via email, Slack, Teams, or any channel your organization already uses. The Manager Discussion Guide is a PowerPoint file. The scenario emails are Word documents you customize and send. There are no logins, no completion tracking platform, and no IT involvement required.

How much time does it take to deploy each monthly kit?

About 30 minutes per month for the compliance officer or HR leader — primarily customizing the company name and reporting channel placeholders and scheduling the four weekly sends. Managers spend approximately 15 minutes per month running the team discussion. Employees spend 2–3 minutes per week reading and engaging with each scenario email.

Can we use the kit alongside a course we purchased from a different vendor?

Yes — that’s one of the most common use cases. The Compliance Reinforcement Kit™ is designed to layer on top of any existing compliance training program, regardless of vendor. If your employees completed harassment training through Navex, Traliant, or your LMS provider, the kit reinforces that content throughout the year without duplicating it.

Can the scenarios be customized to our organization?

Yes. The Compliance Reinforcement Kit is designed to be flexible.  You can use the scenarios as provided, or tailor them to better reflect your organization’s policies, terminology, and risk areas.

Common customization options include:

  • Aligning language to your internal policies
  • Adjusting examples to match your industry
  • Adding company-specific guidance or escalation paths
  • Incorporating recent or relevant situations

All materials are delivered in editable formats, allowing your team to make quick updates if needed.

For organizations looking for a more tailored approach, Xcelus also offers optional customization and localization services.

Most organizations start with the standard kit and customize select high-risk topics over time.

Does the Compliance Reinforcement Kit™ count as documented compliance training?

It depends on your jurisdiction and regulatory environment. The kit is designed as a reinforcement program, not a primary training record. In most organizations, it supplements the annual training record rather than replacing it. We recommend reviewing your specific documentation requirements with legal counsel. The manager discussion completion prompt included in each kit does provide a lightweight paper trail for program participation.

Do we need to customize everything before we start?

No. The Compliance Reinforcement Kit is ready for immediate use.

Most organizations begin with standard content and then customize specific topics over time based on their highest-risk areas.

For organizations operating in regions with employee representation requirements—such as works councils in Germany, France, or Italy—the kit can be reviewed and adapted as part of your internal approval process.

Because materials are provided in editable formats, your team can:

  • Adjust language and tone as needed
  • Align content with local expectations
  • Incorporate feedback from works councils or employee representatives

This allows you to launch quickly while still aligning the program to local requirements where necessary.
